Three steps to a monthly figure
01
Describe the job
Write what comes in and what should happen to it, the way you would tell a colleague. "About 115 invoices a day by email, entered into our accounts."
02
Answer a few questions
The calculator asks only what changes the price: how long the documents are, whether they are scans, how fast each one needs doing.
03
Compare the monthly bill
Pick the AI companies you would consider. Each gets a monthly figure and a range, and every slider updates them straight away.
An example: 115 invoices a day
Invoices arrive by email as two-page PDFs, 22 working days a month. Each one is classified, its fields are extracted, and the result is checked before it is entered. Nothing needs to happen within the hour, so providers with a batch rate charge about half.
Your own workflow will differ. That is what the calculator is for.

Before you commit to building anything, find out whether the running cost is $20 a month or $2,000. Save the estimate and share it with whoever signs off.
SimplaDocs on a sales call
We use the same calculator to quote what a workflow we build for you will cost to run, with your volumes, while you watch.
Got questions? We've got answers
Only what the AI provider charges for reading and writing text and images. It does not include building the workflow, hosting it, or SimplaDocs fees.
It counts tokens from your volumes using published rules of thumb, then applies each provider's list price. Real documents vary, so each figure comes with a range 25% either side. For a firm number, run a sample through the provider and compare.
Model names change every few months. Each company offers a fast, a balanced and a premium tier, and the calculator prices the model that currently fills each one. The prices it used are dated on every estimate.
DeepSeek for the fast and balanced tiers and Alibaba's Qwen for premium, at their official international API prices.
So your estimates are saved and only you can see them. Google is the only sign-in. We will not contact you unless you tick the box when you save.
No. The chat only works out which workflow you have and which sliders matter. Every figure comes from a fixed calculation, so the same inputs always give the same price.
